Academy Policy
Please review all rules before using our facilities or programs. Last updated: January 1, 2026.
These Academy Policies govern your use of all facilities, programs, and services offered by Pickleball Complete Academy ("the Academy"), located at 5102 Highland Ct, Austin, TX 78731. By entering the facility, enrolling in a program, or renting a court, you agree to abide by these policies in full.
1. General Conduct
All members, guests, and visitors are expected to behave in a manner that is respectful, courteous, and safe. The Academy is committed to providing an inclusive and welcoming environment for all participants.
- Treat all players, coaches, and staff with respect at all times.
- Discriminatory, harassing, or abusive language or behavior will result in immediate removal from the facility and termination of membership without refund.
- Maintain a positive attitude during coaching sessions and group play.
- Resolve on-court disputes calmly and, if needed, involve a staff member.
- Alcohol consumption is not permitted on court areas or during scheduled sessions.
2. Court Rules & Usage
To ensure fair access and optimal playing conditions for all members:
- Courts must be booked in advance via our online system or front desk. Walk-in play is permitted on a first-come, first-served basis only if courts are unoccupied.
- Rental time blocks begin and end at the scheduled time. Players arriving late do not receive time extensions.
- Maximum court occupancy is 4 players per court for standard doubles play.
- Non-marking indoor athletic shoes are required on all indoor courts. Outdoor footwear must be clean and appropriate for the surface.
- Players must vacate the court promptly at the end of their reserved time.
- Food and beverages (except sealed water bottles) are prohibited on courts.
- Pets are not permitted on court surfaces at any time.
- Players are responsible for resetting nets and collecting all balls and personal items after their session.
3. Membership & Program Policies
Membership entitles you to access the specific program benefits described in your enrollment plan. The Academy reserves the right to modify program offerings, schedules, and pricing with 30 days' notice.
- All memberships are billed on a monthly basis unless otherwise stated.
- Enrollment constitutes acceptance of these policies and our Privacy Policy.
- Membership is non-transferable and non-shareable.
- Session credits do not roll over between billing months (except Elite Series unlimited plan).
- Membership may be placed on hold for medical reasons with supporting documentation (maximum 60 days per year).
4. Cancellation Policy
We understand schedules change. Our cancellation policy balances fairness with operational needs:
- Sessions cancelled 24+ hours in advance: Full rescheduling credit issued.
- Sessions cancelled within 24 hours: Session credit forfeited.
- No-shows without notice: Session forfeited; repeat no-shows may result in membership review.
- Monthly membership cancellation: 7 days' written notice required before the next billing cycle. Send cancellation requests to info@pickleballcompleteacademy.com.
- Court rental cancellations: Full refund if cancelled 12+ hours before the rental start; forfeited if cancelled within 12 hours.
- The Academy reserves the right to cancel or reschedule sessions due to instructor unavailability, weather, or facility conditions. Full makeups or credits will be provided.
5. Health & Safety
Your safety is our top priority. Please follow all posted safety guidelines and staff instructions at all times.
- Players with known health conditions should consult a physician before participating in athletic activities.
- Report any injury or medical emergency immediately to staff. AED devices and first aid kits are stationed throughout the facility.
- Players who appear ill or injured may be asked to sit out for the safety of themselves and others.
- Warm up appropriately before play. The Academy is not liable for injuries caused by failure to warm up.
- Report any unsafe court conditions, equipment damage, or hazards to staff immediately.
- Children under 12 must be supervised by a parent or guardian at all times in common areas.
6. Liability & Waivers
Participation in pickleball and athletic activities involves inherent risks including physical injury. By using our facilities or participating in programs, you acknowledge these risks and agree to the following:
- Pickleball Complete Academy, its coaches, staff, and owners are not liable for injuries, accidents, loss, or damage to personal property occurring on or near the premises, except in cases of gross negligence.
- A signed liability waiver is required upon initial enrollment or first court rental. Minors require a parent or guardian signature.
- Players participate at their own risk and are encouraged to obtain personal health insurance.
- The Academy is not responsible for lost, stolen, or damaged personal property. Use lockers and secure storage provided.
7. Guest Policy
- Members may bring up to 2 guests per visit. Guests pay the standard drop-in rate of $12 per person.
- The member is responsible for their guest's conduct and policy compliance.
- All guests must sign a liability waiver at the front desk before using any facility.
- Guests may not use member benefits (equipment loan, locker access, etc.) without prior approval.
- Repeat guests (3+ visits in 30 days) will be encouraged to enroll in a membership plan.
8. Equipment Policy
- Academy equipment (paddles, balls, nets, training aids) is provided for on-premises use only and may not be removed from the facility.
- Damaged or lost equipment will be charged at replacement cost to the member responsible.
- Equipment rentals (paddle + balls) are available at the front desk for $5 per session.
- Ball machine rental: $20/hour, subject to availability. Must be booked in advance.
- Personal equipment brought to the facility is the sole responsibility of the owner.
9. Photography & Media
- The Academy may photograph or video players for coaching, marketing, and social media purposes. By using our facilities, you consent to such use unless you opt out in writing at the front desk.
- Players may photograph or record their own sessions for personal use. Recording other players without consent is prohibited.
- Commercial photography or media production on Academy premises requires written approval from management.
10. Policy Enforcement
The Academy staff have full authority to enforce these policies and make reasonable decisions to maintain safety and fairness. Violations may result in:
- A verbal warning from staff.
- Written notice and session suspension.
- Immediate removal from the facility.
- Permanent membership termination without refund.
